Not a member yet or haven't renewed for 2025?

Renew or join ASPET now so that it is processed in time to save on abstract fees and be eligible for awards. We recommend giving yourself at least two weeks prior to your submission.

However, you do not need to be a member to be a presenting author. We welcome everyone doing research in pharmacology, experimental therapeutics, or related areas.

Submit by Thursday, November 7, 2024 at 11:59 pm ET to:

Withdrawal Timeline

  • On or before December 6, 2024, you may withdraw your abstract without fee
  • From December 7, 2024 to February 10, 2025, there is a $100 fee to process a withdrawal of your abstract
  • On or after February 11, 2025, abstracts are sent for publication and cannot be withdrawn
Submission Instructions

Prepare in Advance: We strongly encourage you not to wait until the deadline to submit. To prepare for your submission:

  • Be sure you have renewed your membership dues for 2025 if you want to take advantage of member discounts or apply for student/postdoc awards. If you are interested in joining ASPET, be sure your new member application has been accepted before starting your abstract.
  • Gather the correct spellings of all author names and their complete contact information (first name, last name, email, phone, company/institution, mailing address).
  • Decide which author will present the research in Portland, Ore., April 3-6, 2025 if your abstract is accepted for presentation. This will be the “Presenting Author.”
  • Be sure your abstract title is no more than 150 characters (not including the spaces).
  • Be sure your abstract text and any optional support/funding information, when combined, are no more than 3,000 characters (not including spaces).
  • Have someone help you proofread your abstract title and text.
  • Decide which of ASPET’s topic areas best align with your work. See list below called “Pick a Topic Area.”
  • Review ASPET’s policies, criteria, and instructions to be sure all is in compliance.
  • Decide if the Presenting Author is eligible and wants to be considered for the Student-Postdoc Poster Competition (applying does not guarantee acceptance into the competition and posters can be accepted for presentations that are not part of the competition).
  • Decide if the Presenting Author is eligible and wants to be considered for a Student-Postdoc Travel Award. If yes, have information about their degree program type and dates, have a current curriculum vitae (CV) for upload as a PDF, and have a personal statement written by the applicant of no more than 250 words describing what they hope to achieve by attending the meeting and how attendance may contribute to their research, career development, and/or other professional goals.
  • Decide if the Presenting Author wants to be considered for an early career registration award (must no longer be a postdoc, but no more than 15 years after the receipt of their doctoral degree).
  • If you are an ASPET member, have your ASPET membership username and password ready.

Role of Presenting Author: The discounted fee for ASPET members and the award eligibility for ASPET members refers to the membership of the Presenting Author. Non-members may create their own credentials to handle the submission on behalf of a member. Non-members may also submit abstracts with themselves as the presenting author.

The discounted fees and award eligibility will be determined by the author listed as presenting author on the form. If the presenting author subsequently changes, then additional fees may apply and the replacement author is no longer eligible for awards.

Undergraduates and high school students: You must include a co-author who has an advanced degree (ex. PhD, MD, PharmD). See other requirements for co-authors below.

Requirements of Co-Authors: All co-authors listed on your abstract should meet all of the following:

  • Made substantial contributions to the conception and design, or acquisition of data, or analysis and interpretation of data;
  • Contributed to the drafting of the abstract or revising it critically for important intellectual content;
  • Given their final approval to you for the version included in the submission to be published; and
  • Given their approval to receive ASPET-related emails.

ASPET will email your co-authors a copy of the abstract when it is submitted.

Criteria for Abstract Acceptance

Please note: There is no guarantee that one’s abstract will be accepted or published.

All abstracts are reviewed and scored by ASPET's division-based abstract review teams and then moved to ASPET's Program Committee for final acceptance decisions and scheduling. To be accepted for presentation and publication, abstracts must comply with the instructions, and all ASPET policies. In addition, they must meet the following ASPET criteria:

  • Scientific Merit (original concept, improvement of the previous idea, expands the field);
  • Technical Quality (there are no major design or analysis issues)
  • Abstract is Complete (contains a clear and satisfactory Objective/Aim/Hypothesis, Design/Approach/Methods, Results, and Conclusion);
  • Relevance (contributes to improvement in scientific understanding);
  • Originality (no concerns about scientific integrity/plagiarism); and
  • Language (satisfactory grammar/style and organization).

All accepted abstracts will be published in a special supplement to The Journal of Pharmacology and Experimental Therapeutics (JPET) in April/May of 2025.

Scientific Integrity Policy

ASPET expects all authors to comply with generally accepted standards to avoid scientific misconduct.

Research Regulations
Authors must affirm that original studies in animals have been carried out in accordance with the Guide for the Care and Use of Laboratory Animals as adopted and promulgated by the U.S. National Institutes of Health and were approved by the Institution’s Animal Care and Use Committee or local equivalent. For investigations involving human subjects, authors must affirm that they have been carried out in accordance with the Declaration of Helsinki and approved by the Institutional Review Board(s) or equivalent ethics committee. For multisite studies, all IRBs must agree.

Authorship
All authors listed on your abstract should meet all of the following:

  • Made substantial contributions to the conception and design, or acquisition of data; or analysis and interpretation of data;
  • Contributed to the drafting of the abstract or revising it critically for important intellectual content; and
  • Given their final approval to you for the version included in the submission to be published.

The presenting author must be thoroughly familiar with the original data for the entire study and be responsible for the integrity of the whole work. If the abstract is found to be faulty or fraudulent, all co-authors share responsibility.

Submission of an abstract constitutes a commitment by the author(s) to present and scientifically defend their work in the format (poster, oral presentation, or both) assigned by ASPET. Failure to do so, if not justified, will result in disqualification for awards and a notice of retraction in JPET.

The abstract submission fees and award eligibility are determined by the author listed as presenting author. If the presenting author changes after the abstract is submitted, then the new presenting author will not be eligible for awards and additional fees may apply based on membership status.

Multiple Submissions
You may be a presenting author or a co-author of more than one abstract. However, each submission must represent distinct research. The ASPET Program Committee retains the right to reject all abstracts that they determine are duplicative or plagiarized, including self-plagiary.

Prior Presentation/Publication
Authors are not permitted to submit an abstract on work that has previously been published unless the abstract represents the further progression of the published research.

Responsibility of the Abstract Submitter
The person submitting the abstract on behalf of the authors attests to the following:

  • The merit of the abstract submission and presentation
  • The significant role in the research being reported of all authors listed on the abstract
  • All authors adhere to the Scientific Integrity Policy
  • All authors adhere to the Abstract Licensing Agreement
  • The presenting author is eligible for any awards to which they are applying (if applicable)

Permission
The abstract submitter has the approval of all authors listed in the application to publish and present the information contained in the abstract.

Author Conflict of Interest
You are required to disclose — verbally and in writing on presentation slides and/or posters — any perceived or potential conflicts of interest, financial or otherwise. Conflicts of interest may include consultancies, stock ownership, equity interests, patent-licensing arrangements, lack of access to data and lack of control of the decision to publish or present or any other potential conflict). You are encouraged to include this within your abstract text.

Embargo Policy
Information and data included in abstracts submitted for the ASPET Annual Meeting are embargoed until the conclusion of the ASPET presentation as a poster or an oral talk. Abstract presentations may not be presented at another meeting or published in an archival scientific publication before the scheduled ASPET presentation date unless it is at an ASPET-hosted event, such as a press conference, ASPET datablitz session or a division Town Hall session. All authors must abide by ASPET’s embargo policy. Press coverage of an abstract, lay summary, data or supplemental material is strictly prohibited until the embargo is lifted. Promotion of general topics, speakers or presentation times is permitted and encouraged within the stated guidelines.

Code of Conduct
All authors and meeting attendees agree to abide by the ASPET Code of Conduct.

Abstract Licensing Agreement

In consideration of ASPET’s acceptance of the abstract, the authors grant ASPET a nonexclusive, perpetual, worldwide license to copy, reproduce and publish the abstract in ASPET’s publication of annual meeting abstracts in the Journal for Pharmacology and Experimental Therapeutics (JPET) and/or other compilations or collective works to be assembled and owned by ASPET (together, “Collective Works”) in any form or medium now existing or hereafter created.

The authors understand and agree that ASPET shall own all rights, including copyright, in and to the Collective Works including the right to:

  1. Distribute, reproduce, license, display, perform, lend, lease or transfer rights to the Collective Works to third parties;
  2. Prepare derivative works of the Collective Works;
  3. Register the Collective Works in ASPET’s own name with the U.S. Copyright Office; and
  4. Make copyediting corrections at ASPET’s discretion.

It is understood that the authors and/or third parties with copyrights shall retain copyright in and to the abstract contributed by the authors to a Collective Work. The submitter of this abstract affirms that he/she is the author and owner of the abstract and holds all copyrights in and to the abstract or has secured any third-party permissions necessary to grant ASPET the above rights. The submitter of this abstract is responsible for providing any related third party with a copy of this grant of rights.

The statements and opinions contained in the abstracts published in the annual meeting abstract supplement of the Journal of Pharmacology and Experimental Therapeutics (JPET) and in the meeting mobile app are solely those of the individual authors and contributors, and not of the American Society for Pharmacology and Experimental Therapeutics (ASPET). ASPET disclaims responsibility for any injury to persons or property resulting from any ideas or products referred to in the abstracts. Abstract Submission Fees

Abstract submission fees are non-refundable and do not include registration. If accepted to present your work in any format, you will also need to register and pay to attend the meeting.

To take advantage of member discounts, be sure your 2025 membership dues are paid before you start your abstract submission. There are no refunds for submitters who start their abstract submission as a non-member and later decide to join.

How to be considered for an Oral Presentation

Abstracts submitted by November 7, 2024 by students and postdocs may also be considered for an oral presentation in related symposia, division platform sessions, hot topics symposia or the ASPET Daily Datablitz sessions. Depending on the invitation to speak, you may also be scheduled to present a poster in addition to the oral presentation. If your accepted abstract is not selected for an oral presentation, you will be scheduled for a poster. No separate application is needed. Several speaking opportunities require ASPET membership. Be sure your ASPET membership is in good standing.

How to be considered for Awards

STUDENT and POSTDOC AWARDS:

Eligible student and postdoc ASPET members must be the presenting author on an abstract and answer additional questions within the abstract submission form related to their desire to be considered for these awards. A separate application is not needed.

Please review eligibility and other instructions for Travel Awards and Poster Awards before submitting your abstract. Once your abstract is submitted you will not be able to add award applications to it.

If you do not see the additional questions asking about Poster and Travel awards in the abstract submission form, please be sure your membership has been renewed for 2025 and that your membership type is undergraduate, graduate student, post-baccalaureate, or postdoc. EARLY-CAREER SCIENTISTS ABSTRACT AWARDS:

Eligible early-career ASPET members who are the presenting author on a high-scoring abstract in certain topical categories will be considered for complimentary registration awards by their ASPET division. To be considered “early career,” you must be an ASPET regular member (not a postdoc member) who received their doctoral degree within the last 15 years. Please check the box on the submission form to indicate that the presenting author is "early career." Participating divisions include Molecular Pharmacology, Drug Discovery and Development, Drug Metabolism and Disposition, and Translational and Clinical Pharmacology.

Frequently Asked Questions

Do I need a sponsor for my abstract?
Sponsorship of abstracts by ASPET members is no longer required. However, for undergraduates and high school students, we do require that you have at least one co-author who has an advanced degree (ex. PhD, MD, PharmD). Typically, this would be your teacher, PI, or other scientist who supervised your research.

Can I be an author on multiple abstracts?
Yes! You can be a presenting author and/or co-author on multiple abstracts. However, each submission must represent distinct research. The ASPET Program Committee retains the right to reject all abstracts they determine are duplicative or plagiary, including self-plagiary.

When will I know if I’ve been accepted?
Abstracts submitted by November 7, 2024, will be notified of acceptance decisions by December 20 prior to the registration discount deadline. Abstracts submitted from December 10, 2024 to January 16, 2025, will be notified of acceptance decisions by late February.

When will I know which day I need to present my poster?
Please be prepared to be in Portland, Oregon, from April 3-6, 2025. You will find out by late February which day you have been assigned. Poster presentations take place from 5:00 pm – 7:00 pm on Thursday, April 3, Friday, April 4 and Saturday, April 5. Poster Awards are announced on Sunday, April 6. Due to the volume of abstract submissions and the categorization into topic areas, we are not able to assign or change an assignment based on any one individual’s preference.

What if my abstract is rejected?
If the Program Committee does not accept your abstract, you can revise and re-submit it from until January 16, 2025. Additional fees apply. Re-submission does not guarantee acceptance. If your abstract is not accepted, we still welcome you to join us in Portland to network with the top scientists in the field and take advantage of our outstanding educational program.

Is there a character or word limit for an abstract?
The abstract title can be no more than 150 characters (not including the spaces). The combined abstract title, text and any support/funding information you need to disclose, can be no more than 3,000 characters (not including spaces). If you include an image with a caption, the caption text is included within the combined 3,000-character limit.

What if I need to withdraw my abstract?
At any time on or before December 6, 2024, you may withdraw your abstract without fee. From December 7, 2024 to February 10, 2025, there is a $100 fee to process a withdrawal of your abstract. On or after February 11, 2025, abstracts are sent for publication and cannot be withdrawn. To withdraw your abstract, contact meetings@aspet.org, include your abstract ID number and copy your co-authors.

For acceptance, abstracts must comply with all policies as well as meet the following criteria:

  • Scientific Merit (original concept, improvement of the previous idea, expands the field);

  • Abstract is Complete (contains a clear and satisfactory Objective/Aim/Hypothesis, Design/Approach/Methods, Results and Conclusion);
  • Relevance (contributes to improvement in scientific understanding);
  • Originality (no concerns about scientific integrity/plagiarism); and
  • Language (satisfactory grammar/style and organization).

Other Tips for Writing a Great Abstract

  • Titles should be informative but concise, where relevant include how results were obtained primarily – in vivo/in vitro, method and species.
  • Write for a broad audience. Pharmacology is applied to a wide array of topics, so be sure to write your abstract so it can be understood by researchers in other specialties. Define acronyms or, when possible, avoid using acronyms.
  • State your problem up front. Clearly describe the problem you're addressing with your research. In the introduction provide a clear hypothesis or objective.
  • Provide concise methods. That is, a brief statement that provides sufficient information to put your results into context.
  • Results are the body of the abstract. This should be the largest section in your abstract.  Back up statements of “increase” or “decrease” with data and statistical analysis.
  • Conclude with your interpretation of the significance of study. End with a sentence describing the significance of the study and what it means for your field.  It is not sufficient to say “the results will be discussed.”

Accepted Presenter Info (and Format)

Alert: Posters are square! The poster board surface area for your poster is 44” high and 44” wide. Note: If accepted you will be sharing half of a full-sized poster board (8 feet long) with another presenter. Each presenter has no more than a 44" x 44" area for their poster.

Abstract Presentation
Material included in the presentation of an abstract must be substantively identical to that described in the submitted abstract. The title, authorship and scientific content of a presentation at the Annual Meeting must match that of the abstract.

In-Person Posters
Authors are required to present in person in Portland, Oregon. Registered attendees are also encouraged to engage with poster authors through our attendee-to-attendee messaging system on the mobile app. The mobile app will include the abstract (not a final poster).

Be Sure to Display Your Poster on the Correct Day
A poster that is displayed on the wrong day will be removed. Each poster board is marked with a unique board number. This unique number indicates the placement of the board within the Poster Hall. Reference your Schedule Assignment email for your board number.

General Tips and Guidelines for Formatting Your Poster

Plan your poster early, start at least four weeks (or more!) before the meeting.

How it looks

  • Posters should be readable by viewers three-to-five feet away.
  • Use a consistent, sans-serif font (e.g. Arial, Helvetica) in a large font size such as 28 points or larger.
  • Create a 4”-6” high headline strip that runs no more than 44” wide to display your abstract title, authors and authors affiliations (this must match the one you submitted.)
  • Use high-resolution graphics for any charts, graphics, or images.
  • Break poster into sections organized in columns with a clear flow to read from left to right / top to bottom.

What it says

  • Focus your attention on a few key points that follow the main headings in your abstract typically: Objective/Hypothesis, Design/Approach/Methods, Results, and Conclusion.
  • The message should be clear and understandable without oral explanation.
  • Include titles or captions for figures and tables.
  • Avoid abbreviations, acronyms and jargon.
  • Include contact information (email or social media) for viewers to reach you to discuss more.
  • Keep it simple - resist the temptation to overload the poster.
  • Have your poster proofread by yourself and others before printing. Is the message clear? Do the important points stand out? Is there a balance between words and illustrations? Is the flow from Objective, Methods, Results and Conclusion easy to follow?

Photography/Recording Policy
ASPET policies on photography and participant conduct are designed to help protect your research. The code of conduct prohibits unauthorized capturing and sharing of your work. The photography policy arms you with icons to help communicate to other participants whether they have your permission to capture and share your poster. Please visit the ASPET policies page to learn more and copy the icons to put on your poster to indicate if you approve of others photographing your poster: Policies.

Poster Printing
You are encouraged to check with your university regarding printing services and what support they offer.

Expectations of Presenters

  • The Presenting Author will be at their boards to discuss their work on their assigned date and time. Individual requests for specific dates cannot be accommodated.
  • The Presenting Author will register for the meeting.
  • The Presenting Author will present the poster. Any substitutions will render both participants ineligible for any travel awards previously offered and the poster will be removed from participation in the Poster Competition, if applicable.
  • Material included in the poster must be substantively identical to that described in the submitted abstract. The title, authorship and scientific content of a presentation at the annual meeting must match that of the abstract.

Abstract Publication
Your abstract will be published in The Journal of Pharmacology and Experimental Therapeutics in April 2025.
